Folder What should be filled out in the "Other Costing Remark" field in Setting > General and Cost Structure section?

The Other Costing Remark field in the Cost Structure section of an UrbanSoft tour package captures general pricing disclaimers, tax notes, and supplementary financial conditions applicable to the package. Default terms are pre-populated from Admin > Setting > General (e.g., "Subject to 6% SST") and can be customized directly for specific packages. Importantly, this field is intended strictly for general cost remarks—it should not include public holiday or peak season surcharges, as UrbanSoft provides dedicated fields specifically for peak surcharges.

What Can I Do?

You can clarify financial terms and manage, default disclaimers using the following options:

  • Record General Pricing Conditions: State tax application notes, currency exchange disclaimers, mandatory local taxes not included in base pricing, or other price-related information.

  • Keep Surcharges Separate: Exclude public holiday and peak season surcharges from this field, utilizing the dedicated surcharge fields in the system instead.

  • Set & Manage General Defaults: Pre-populate company-wide cost disclaimers under Admin > Setting > General to maintain consistency across new packages.

  • Modify per Tour Package: Override or adjust default terms when creating or updating a tour package without impacting global admin settings or existing database records.

Field Definitions & Ideal Inputs

  • Other Costing Remark: Supplementary financial disclaimers and tax conditions applied to the cost calculation (pre-populated from Admin > Setting > General).

    • Ideal Inputs: Tax notes and rate conditions (e.g., "Subject to 6% SST", "Prices subject to change prior to deposit payment", or "Local tourism tax of MYR 10/room/night payable at hotel").

    • Exclusions: Public holiday, weekend, and peak season surcharges (these belong in the dedicated Surcharge fields).

Example

For a domestic tour package in Malaysia, you can set the global default in Admin > Setting > General to state: "Prices subject to 6% SST. Rates are quoted in MYR and subject to change without prior notice." When configuring a specific package, you can keep or edit this note while leaving holiday surcharges (e.g., "Hari Raya Surcharge: MYR 100/room/night") to be entered in the dedicated Surcharge for Public Holiday & Peak Season field.

Important Notes

  • Pre-populated terms from Admin > Setting > General streamline package creation, ensuring legal and tax disclaimers are automatically included.

  • Modifying the "Other Costing Remark" field inside a tour package applies changes exclusively to that package—it does not alter the global admin default or modify existing packages in the system.

  • Keeping holiday and peak season surcharges in their designated fields ensures accurate system calculations and clean itinerary presentation.
