Folder What is the difference between "User Access and Staff Permissions"?

In UrbanSoft, "User Access" and "Staff Permissions" are two distinct administrative controls used to manage team members' account entry and operational capabilities within the platform:

  • User Access (Who can log in): Controls account entry, login authentication, and account activation status. It determines whether a staff member is permitted to log into the company's UrbanSoft system.

  • Staff Permissions (What they can do): Controls module visibility, feature access, and operational authority once logged in. It defines specific functional privileges, such as creating tour packages, viewing B2B/B2C costing sheets, issuing invoices, top-up deposits, or managing company administrative settings.

What Can I Do?

You can manage account security and workflow hierarchy using the following administrative functions:

  • Manage User Access: Enable, suspend, or revoke staff user logins to control who can access the agency workspace.

  • Configure Role-Based Permissions: Assign predefined roles (e.g., Administrator, Sales/Planner, Operations, or Finance) or customize granular permissions per employee.

  • Protect Sensitive Data: Restrict unauthorized staff from viewing confidential supplier net rates, profit margins, buyer databases, or system configuration settings.

  • Enforce Operational Security: Ensure actions like deleting files, issuing invoices, or top-up deposits require authorized management permissions.

Key Differences & Operational Guidance

Feature User Access Staff Permissions
Core Function Controls system entry and authentication (Login Status). Controls functional privileges and data access within the platform.
Primary Decision Can this person log into UrbanSoft? What modules, fields, and actions can this person view or execute?
Typical Controls Active/Inactive status, email login credentials, password resets, multi-factor authentication. Read/Write/Edit/Delete access to Tour Packages, Costing Sheets, B2B/B2C Quotes, Admin Settings, Invoices & Financials etc.
Administrative Scope Account-level seat allocation and user account management. Role-based operational authority and module-level access control.

Example

When onboarding a new Sales Specialist in UrbanSoft:

  1. User Access: The Super Admin creates a user profile and grants User Access by sending an activation link, enabling the specialist to log into urbansoft360.com.

  2. Staff Permissions: The Admin configures Staff Permissions to allow the specialist to create B2B/B2C tour package quotes and itineraries, while restricting access to Admin > Setting > Download & Delete and hiding internal supplier costing markups.

Important Notes

  • Revoking a staff member's User Access immediately blocks system login without deleting their historic records, completed quotations, or assigned tour package drafts.

  • Staff Permissions should be configured according to the principle of least privilege to safeguard sensitive financial data, profit margins, and buyer information.
